Terms & Conditions – Client Agreement

By submitting payment, you agree to the following Terms & Conditions, which are non-negotiable. Helen Medlin Princess Parties, LLC reserves the right to cancel or terminate services without refund if any of these terms are violated or disregarded.

1. Pricing

Helen Medlin Princess Parties, LLC reserves the right to modify pricing on our website or social media at any time. However, once a price is confirmed in writing (via email or message), that quote is valid for 7 days. You will only be charged the quoted price if full payment is made within that time frame.

2. Payment Policy

Full payment is required upfront to reserve your date and time. Payments are made through PayPal Goods & Services, which offers buyer protection. We are a licensed and insured LLC registered with PayPal Business, and a percentage of each transaction goes toward providing secure, professional service.

Your payment covers:

  • Administrative labor (booking, scheduling)

  • Automated scheduling software

  • Exclusive reservation of performer(s)

  • Compensation for cast members who request time off for your event

All payments are non-refundable, as we turn away other bookings once your payment is received and block your date/time in our system.

3. Rescheduling

If you need to reschedule, please contact us as early as possible. New dates are subject to performer availability. Events can be rescheduled without penalty up to 2 weeks before the original booking date and time.

4. Cancellations

Client-initiated cancellations are non-refundable. Partial refunds may be considered on a case-by-case basis, solely at the discretion of the company owner and in cases of genuine unforeseen emergencies.

If cancellation occurs due to circumstances such as Acts of God, force majeure, riots, strikes, epidemics, or orders from public authorities, full refunds will be issued, and neither party will have further legal recourse.

5. Gratuity

Gratuities are not included in your payment but are greatly appreciated. If you'd like to tip your performer:

  • Zelle: 404.990.2222

  • Cash tips are preferred when possible.

6. Travel Fees

Events located more than 25 miles from zip code 30068 will incur a $1 per mile travel fee. Travel fees are not included in the original quote and can be paid in advance or directly to the performer or assistant on the day of the event.

Accepted payment methods:

  • Venmo, Cash App, Zelle (same usernames/emails as above)

  • Cash (preferred)

7. Safety & Conduct

Performers and assistants reserve the right to leave any event immediately and without refund if they feel harassed, unsafe, or are exposed to a hostile, hazardous, or unsanitary environment.
Verbal abuse, physical threats, or inappropriate behavior will not be tolerated. We reserve the right to cancel services permanently and cease communication if safety protocols are not respected.

8. Liability & Risk

Helen Medlin Princess Parties, LLC and all affiliated team members are not liable for:

  • Any injuries, illnesses, or accidents that occur during or after the event

  • Any damage to property caused by guests, performers, or activities

  • Reactions to allergens (see Allergy section below)

By submitting payment, you acknowledge and accept all known and unknown risks associated with participating in our activities.

If any hazards arise during the event, please inform our team immediately.

9. Competing Entertainers

No costumed entertainers or character performers from competing companies may be present at your event without written consent from Helen Medlin Princess Parties, LLC. We are not responsible for the actions of entertainers from other companies or guests outside of our team.

10. Allergies

It is your responsibility to notify us of any allergies your guests may have to:

  • Food products

  • Nail polish, latex, acrylics

  • Face paints, temporary tattoos, or cosmetic materials

We are not liable for any allergic reactions or related incidents that may occur.

11. Photography & Social Media

We often capture and share event photos for promotional purposes (website, Instagram, etc.). If you do not want photos shared, please notify us before the event.

All media from your event is for personal use only unless express written permission is granted for other purposes. We do not sell or use any images to produce merchandise.

12. Monetization

Clients may not charge admission or collect any fees from guests to see, interact with, or photograph our performers unless written approval is granted by Helen Medlin Princess Parties, LLC.

13. Adult Supervision

An adult must be present and supervising in the same space as the performer(s) at all times. Our entertainers are not babysitters.

You, as the host/parent/client, are responsible for:

  • Guest behavior

  • Discipline and safety

  • Managing any disruptive actions during the party

Our performers will only interact with guests who are behaving appropriately.

14. Weather Policy

Please plan ahead with an indoor or shaded alternative if your event is outdoors. We will not perform outside if:

  • Temperature is above 85°F or below 45°F

  • There is heavy wind, rain, mud, or unsafe terrain

Performers have the right to leave if weather conditions risk damage to costumes or wigs.

On sunny days, please provide a fully shaded space for all entertainment activities.

15. Traffic & Delays

We are not responsible for delays caused by traffic, road closures, or other uncontrollable events. If we are late and no events are booked immediately after yours, we will extend our stay to make up the missed time at no extra charge.

16. Additional Attendees

An additional cast member or assistant may attend your event to assist with logistics and ensure smooth performance. This is not guaranteed unless:

  • Requested by the performer

  • Requested by the client ($50 assistant fee applies)

Assistants will always be dressed in company-identified attire or merchandise. If brought by our team without your request, no extra charge applies.

17. Sound System Requirements

For large or noisy venues, a sound system is necessary. Performers will not strain their voices to be heard.

We can provide:

  • A portable Bluetooth speaker

This equipment is not suitable for large or staged events. Please discuss your sound system needs in advance of your booking.

18. Copyright Disclaimer

Helen Medlin Princess Parties, LLC does not offer licensed characters. All characters are generic or inspired by public domain sources.

We are not affiliated with or endorsed by any corporation, trademark, or brand. If you are seeking licensed characters, please contact the appropriate copyright holders directly.

19. Final Acknowledgment

Do not proceed with booking if you have any questions about these terms. We are happy to clarify anything in advance.
